Reasonable Adjustments

1. Introduction

SEE Change Happen Ltd is committed to creating inclusive, accessible and respectful learning environments. We want delegates, clients, participants and contributors to be able to engage with our workshops, events, consultations and digital services without avoidable barriers.

This policy explains our approach to accessibility and reasonable adjustments for disabled people, including people with physical, sensory, cognitive, neurodivergent, mental health, long-term, fluctuating or non-visible conditions.

We recognise our duties under the Equality Act 2010 and aim to take reasonable steps to remove or reduce disadvantage, support participation, and prevent disability discrimination.

2. Scope

This policy applies to workshops, events, consultations, speaking engagements, digital learning activities and related services delivered or managed by SEE Change Happen Ltd.

Where we are delivering services on behalf of, or in partnership with, a client, reseller, event organiser or host organisation, accessibility responsibilities may be shared. For example, the client or host organisation may be responsible for venue selection, delegate registration, platform choice, event communications or on-site logistics. In those situations, we will work with the relevant organisation to support accessible delivery wherever reasonably practicable.

3. Our Commitment to Accessibility

We aim to make our services accessible, inclusive and welcoming by:

  • considering accessibility during planning and delivery;
  • inviting delegates to share access needs or adjustment requests in advance where appropriate;
  • responding to adjustment requests respectfully and constructively;
  • providing accessible materials where reasonably practicable;
  • using inclusive facilitation methods that support different communication, learning and participation styles;
  • working with clients, venues and event partners to reduce avoidable access barriers;
  • reviewing feedback and improving our practice over time.

4. Identifying Access Needs

Where appropriate, we will encourage delegates or client organisations to tell us about access needs, communication preferences or reasonable adjustment requests as early as possible before an event, workshop or consultation.

Early notice helps us consider what is needed, what is practicable, and what arrangements may need to be made with venues, platforms, interpreters, captioners, clients or other third-party providers.

Delegates are not required to disclose a diagnosis. In most cases, we only need to understand the barrier being experienced and the adjustment or support that would help.

5. Reasonable Adjustments

Reasonable adjustments are changes or support arrangements that help remove or reduce disadvantage experienced by disabled people. Adjustments will depend on the individual, the activity, the delivery format, the venue or platform, the notice given, and what is reasonably practicable in the circumstances.

Examples of adjustments may include:

  • providing slides, handouts or resources in advance where appropriate;
  • offering materials in accessible formats, such as large print, plain text, screen-reader-friendly documents or alternative layouts;
  • using clear, structured and accessible presentation design;
  • supporting captioning, live transcription, British Sign Language interpretation or other communication support where agreed and practicable;
  • allowing breaks, flexible participation or alternative ways to contribute;
  • supporting delegates who need additional processing time, written instructions or reduced cognitive load;
  • checking venue access arrangements where we are responsible for venue selection;
  • requesting accessibility information from venues or host organisations where they control the event space;
  • adapting breakout activities, group discussions or exercises to support participation;
  • providing reserved seating or positioning arrangements where needed and practicable.

6. Visual Access

Where visual access needs are identified, we will consider reasonable steps such as:

  • using clear, high-contrast presentation materials;
  • avoiding reliance on colour alone to communicate meaning;
  • providing materials in large print, plain text or accessible digital formats where practicable;
  • describing relevant visual content during delivery where appropriate;
  • sharing materials in advance where this supports access and does not compromise the session design or client requirements.

7. Hearing and Communication Access

Where hearing or communication access needs are identified, we will consider reasonable steps such as:

  • using microphones, hearing loops or amplification systems where available and appropriate;
  • supporting captions, live transcription or British Sign Language interpretation where agreed in advance;
  • ensuring videos used by SEE Change Happen Ltd are captioned where reasonably practicable;
  • using clear verbal instructions and avoiding unnecessary jargon;
  • providing written summaries, instructions or follow-up resources where appropriate.

8. Neurodivergence, Dyslexia and Cognitive Access

Where neurodivergent, dyslexic or cognitive access needs are identified, we will consider reasonable steps such as:

  • using clear structure, plain language and accessible formatting;
  • providing written instructions for activities where helpful;
  • allowing additional time for reading, reflection or response where practicable;
  • avoiding unnecessary sensory, cognitive or social pressure;
  • offering alternative ways to participate in discussions or exercises;
  • sharing agendas, timings or session expectations in advance where appropriate.

9. Physical Access and Mobility

Where physical access or mobility needs are identified, we will consider reasonable steps such as:

  • selecting accessible venues where SEE Change Happen Ltd is responsible for venue choice;
  • asking client organisations, hosts or venues to confirm access arrangements where they control the event space;
  • checking availability of step-free access, accessible toilets, lifts, seating and room layout where relevant;
  • supporting suitable seating, space and movement arrangements during sessions;
  • adapting activities or breakout arrangements to avoid unnecessary physical barriers.

10. Digital Accessibility

For digital workshops, online consultations and virtual events, we will consider accessibility in relation to the platform, materials and delivery method. This may include:

  • using accessible digital formats where practicable;
  • supporting captions, transcripts or chat-based participation where appropriate;
  • using clear joining instructions;
  • checking whether delegates need materials in advance;
  • offering reasonable flexibility in how delegates engage with the session.

11. Limits and Practical Considerations

We will make reasonable efforts to meet adjustment requests. However, some adjustments may depend on factors outside our direct control, including venue facilities, client decisions, platform limitations, third-party availability, timescales, cost, health and safety considerations, safeguarding requirements, and the nature of the activity being delivered.

If a requested adjustment cannot reasonably be provided, we will consider whether an alternative adjustment may help reduce the barrier.

12. Confidentiality and Data Protection

Information shared with us about disability, health, neurodivergence, access needs or reasonable adjustments will be handled respectfully and confidentially.

We will only use this information for relevant purposes, such as planning access arrangements, supporting participation, managing safety, responding to concerns, or meeting legal or contractual obligations.

Where adjustment information includes personal data or special category data, it will be handled in line with our Privacy Policy and our Data Protection of Delegate Information Policy.

13. Training and Awareness

We aim to maintain awareness of accessibility, disability inclusion and inclusive facilitation practice within our work. We also welcome feedback from delegates, clients and partners to help us improve how we plan and deliver accessible services.

14. Feedback, Concerns and Complaints

Delegates, clients or partners who wish to raise an accessibility concern, request an adjustment, or provide feedback about access arrangements should contact us as soon as possible.

Where a concern or complaint is raised, we will review the issue, consider what happened, identify any practical steps that may be needed, and respond appropriately.

15. Policy Review and Updates

This policy will be reviewed periodically and updated where necessary to reflect changes in our services, working practices, legal requirements, accessibility standards or feedback from delegates and clients.
