Inclusive Access Policy

1. Introduction

At SEE Change Happen Ltd, we are committed to creating inclusive, accessible and respectful marketing, learning and communication materials. We want our content to support participation, reduce avoidable barriers, and reflect the diversity of the people, organisations and communities we work with.

This policy explains how we approach inclusive design, representation, accessibility and continuous improvement in the materials we produce and use.

This policy should be read alongside our Reasonable Adjustments and Accessibility Policy, our Data Protection of Delegate Information Policy, and our wider Privacy Policy.

2. Scope

This policy applies to marketing, learning and communication materials produced or used by SEE Change Happen Ltd. This may include digital content, printed resources, presentations, slide decks, worksheets, handouts, delegate workbooks, promotional materials, website content, social media assets, video, audio, downloadable resources and related learning materials.

Where materials are produced for, or in partnership with, a client, reseller, event organiser or host organisation, some design, branding, platform or format requirements may be determined by that organisation. In those cases, we will seek to support inclusive and accessible practice wherever reasonably practicable.

3. Our Inclusive Design Principles

Our approach to inclusive materials is guided by the following principles:

  • Accessibility: materials should be as easy as reasonably practicable to perceive, understand, navigate and use.
  • Clarity: content should use clear structure, plain language and accessible formatting wherever possible.
  • Representation: examples, images, case studies and narratives should reflect diverse people and experiences with dignity.
  • Respect: materials should avoid stereotypes, tokenism, stigmatising language and unnecessary assumptions.
  • Flexibility: content should support different access needs, learning contexts, communication preferences and participation styles.
  • Relevance: materials should be appropriate to the audience, sector, culture, geography and purpose of the work.
  • Continuous improvement: feedback should be used to refine and strengthen materials over time.

4. Accessible Digital Content

For digital content, we aim to follow recognised accessibility principles, including the Web Content Accessibility Guidelines (WCAG), where relevant and reasonably practicable.

Our digital accessibility practice may include:

  • using clear headings, logical structure and meaningful page or document titles;
  • using readable fonts, appropriate spacing and sufficient colour contrast;
  • avoiding reliance on colour alone to communicate meaning;
  • providing meaningful alternative text for relevant images where practicable;
  • using descriptive link text rather than vague phrases such as "click here";
  • creating documents and resources that are easier to navigate with assistive technologies;
  • checking that downloadable resources are structured clearly and can be used in accessible formats where practicable;
  • avoiding unnecessary animation, flashing content or visual clutter.

5. Printed and Downloadable Materials

For printed and downloadable materials, we aim to make design choices that support readability, usability and access.

This may include:

  • using clear layouts, headings and section breaks;
  • using legible fonts and appropriate font sizes;
  • using plain language where possible without diluting meaning;
  • avoiding dense blocks of text where a clearer structure would help;
  • using accessible colour contrast where practicable;
  • providing large print, plain text or alternative digital formats where reasonably practicable and with appropriate notice;
  • considering paper, format, layout and navigation needs where physical materials are provided.

6. Audio, Video and Multimedia Materials

For audio, video and multimedia materials produced or controlled by SEE Change Happen Ltd, we aim to support access through clear communication and appropriate supporting formats.

This may include:

  • providing captions, subtitles or transcripts where reasonably practicable;
  • using clear audio, appropriate pacing and structured delivery;
  • avoiding unnecessary jargon or explaining specialist terms where needed;
  • providing written summaries or key points where appropriate;
  • considering audio description or verbal explanation of important visual content where relevant;
  • checking whether client-provided or third-party multimedia materials are suitable for the intended audience where practicable.

7. Inclusive Representation

We aim for materials to represent people and communities in a way that is respectful, relevant and non-tokenistic.

This includes considering:

  • diversity of age, disability, ethnicity, gender, sexual orientation, body size, faith, class, family structure and lived experience;
  • intersectionality and the ways people may experience multiple forms of advantage, exclusion, risk or marginalisation;
  • the avoidance of stereotypes, deficit-based framing or caricature;
  • the use of examples and case studies that reflect real workplace, service-user and community complexity;
  • the dignity, privacy and consent of people represented in images, stories, case studies or testimonials.

8. Language and Tone

We aim to use language that is accurate, respectful, practical and human-centred. Our materials should support learning and reflection without shaming, stereotyping or excluding people unnecessarily.

Where terminology is contested, changing or context-specific, we will aim to explain our language choices clearly and update materials where appropriate.

9. Client, Brand and Platform Constraints

Some materials may need to follow client branding, platform restrictions, event templates, sector requirements or technical constraints. Where these affect accessibility or inclusion, we will raise relevant concerns where appropriate and suggest practical improvements where possible.

Where a client, host organisation or event partner provides materials, platforms or templates, they may retain responsibility for the accessibility and inclusivity of those assets. We will support good practice within the areas we control.

10. External Contributors and Contractors

Where we commission or collaborate with external contributors, designers, facilitators, contractors or suppliers, we will seek to make them aware of our expectations around inclusive, accessible and respectful content.

Where appropriate, we may review externally produced materials before use and request changes to improve accessibility, clarity or inclusion.

11. Feedback and Continuous Improvement

We welcome feedback from delegates, clients, partners and collaborators about the accessibility, inclusivity, clarity and usefulness of our materials.

Feedback may be used to:

  • improve future versions of materials;
  • identify barriers we may not have anticipated;
  • update language, examples, formats or design choices;
  • strengthen representation and relevance;
  • support better access and participation in future work.

12. Relationship with Reasonable Adjustments

This policy focuses on inclusive design and access in our materials and communications. Individual access needs or adjustment requests relating to a specific delegate, event, workshop or consultation are handled under our Reasonable Adjustments and Accessibility Policy.

13. Complaints and Suggestions

Delegates, clients or partners who have concerns about the accessibility or inclusivity of our materials are encouraged to contact us. We will consider the concern, review the relevant material where appropriate, and identify any practical improvements that may be needed.

14. Policy Review and Updates

This policy will be reviewed periodically and updated where necessary to reflect changes in our services, working practices, accessibility standards, inclusive design practice, legal requirements or feedback from delegates and clients.
